Privacy Policy — Senior Check Buddy

Senior Check Buddy ("Company," "we," "us," or "our") provides daily companionship calls, scam-protection coaching, medication compliance check-ins, family reporting, technology assistance, and personal concierge coordination for senior clients (collectively, the "Services"). This Privacy Policy explains how we collect, use, share, and protect information when you visit our website at www.seniorcheckbuddy.com (the "Site") or use our Services.

By using our Site or Services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our Site or Services.

1. Information We Collect

1.1 Information You Provide to Us

  • Family/Responsible Party information: name, phone number, email address, mailing/billing address, relationship to the senior client, and Power of Attorney or guardianship status.
  • Senior Client information: name, date of birth, address, phone number(s), living situation, emergency contacts, physician information, general health and safety notes (e.g., memory, hearing, or mobility considerations), medication names/dosages/times (collected solely for daily compliance reminders, not medical management), technology comfort level, hobbies/interests, and preferred call times.
  • Payment information: billing name, address, and payment method details, processed through our secure third-party payment processor (we do not store full credit card numbers on our own servers).
  • Communications: information you provide when you contact us by phone, email, form, or text message, including the content of those communications.
  • Call content: general notes and summaries from companionship and check-in calls (mood, memory recall, medication compliance, reported concerns, requests), which are shared with the Responsible Party as part of the Service.

1.2 Information Collected Automatically (Website)

  • Usage data: pages visited, time on page, referring website, browser type, device type, and general location (city/region) inferred from IP address.
  • Cookies and similar technologies: used for site functionality, analytics, and remembering preferences. You can control cookies through your browser settings.

1.3 Information Collected via SMS/Text Messaging

If you or a family member opts in to receive text messages from us (e.g., appointment reminders, daily check-in confirmations, or account notifications), we collect your mobile phone number and the fact that you consented to receive messages, along with message delivery and engagement data (e.g., whether a message was delivered or a STOP/HELP reply was received).

2. How We Use Information

We use the information we collect to:

  • Provide, schedule, and personalize daily check-in calls and other Services
  • Prepare and deliver Peace of Mind Reports and wellness summaries to the Responsible Party
  • Verify identity and consent before enrolling a senior client
  • Coordinate requested concierge tasks (e.g., grocery orders, ride scheduling, prescription refill coordination)
  • Process payments and manage billing
  • Send service-related communications, including appointment confirmations, trial reminders, and account updates
  • Send SMS/text messages you have opted in to receive (see Section 4 below)
  • Respond to inquiries and provide customer support
  • Improve our Site, Services, and internal training
  • Detect, investigate, and prevent fraud, abuse, or safety concerns involving our clients
  • Comply with legal obligations, including elder-safety and mandatory-reporting laws where applicable
We do not use senior client health-adjacent information for advertising purposes, and we do not sell personal information to data brokers.

3. How We Share Information

We share information only in the following circumstances:

  • With the Responsible Party: call summaries, wellness reports, and relevant updates about the senior client are shared with the designated family member/Responsible Party.
  • Service providers: we may share information with trusted third parties who perform services on our behalf, such as payment processing, SMS/text delivery, call recording/logging, customer relationship management (CRM), and cloud data storage. These providers are contractually required to protect your information and may only use it to provide services to us.
  • Emergency situations: if a companion reasonably believes a client is in danger, is experiencing a medical emergency, or is a victim of suspected abuse, neglect, or fraud, we may contact emergency services (911), the Responsible Party, or, where legally required, adult protective services or another appropriate authority.
  • Legal requirements: we may disclose information if required by law, subpoena, court order, or governmental request, or to protect the rights, safety, or property of the Company, our clients, or others.
  • Business transfers: if the Company is involved in a merger, acquisition, or sale of assets, client information may be transferred as part of that transaction, subject to the same privacy protections described here.
We do not sell personal information. We do not share mobile phone numbers or SMS opt-in/consent data with third parties for their own marketing or promotional purposes.

3.1 SMS/Text Messaging Data Sharing Disclosure

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories of information collected in connection with SMS messaging (excluding text messaging originator opt-in data and consent) may be shared with the third-party service providers described above solely to operate and improve our Services. Text messaging originator opt-in data and consent will not be shared with any third party for any purpose.

4. SMS / Text Messaging Terms

If you opt in to receive text messages from Senior Check Buddy (e.g., for daily check-in confirmations, appointment reminders, trial updates, or account notifications):

  • Consent: By providing your mobile number and opting in (e.g., through our website form, verbally during a call with written follow-up, or by texting a keyword), you consent to receive recurring text messages from Senior Check Buddy at the number provided. Consent to receive texts is not a condition of purchasing any Services.
  • Message frequency: Message frequency varies based on your selected plan and preferences (for example, up to one message per day for check-in confirmations). Message frequency may vary.
  • Message and data rates: Message and data rates may apply, based on your mobile carrier plan.
  • Opt-out: You can opt out of text messages at any time by replying STOP to any message. You will receive one final confirmation message that you have been unsubscribed. You may continue to receive Services by phone even after opting out of SMS.

  • Supported carriers: Carriers are not liable for delayed or undelivered messages.

5. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure, including secure data storage, access controls limiting employee access to client information on a need-to-know basis, and background checks for staff who interact with senior clients. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain personal information for as long as necessary to provide the Services, maintain accurate records, comply with legal and regulatory obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to securely delete or anonymize it.

7. Your Choices and Rights

Depending on your location, you may have the right to:

  • Request access to the personal information we hold about you or your family member
  • Request correction of inaccurate information
  • Request deletion of personal information, subject to legal and contractual retention requirements
  • Opt out of SMS/text messaging at any time (see Section 4)
  • Withdraw consent for services at any time by contacting us

To exercise any of these rights, contact us using the information in Section 11 below. We may need to verify your identity and relationship to the senior client before fulfilling certain requests.

California Residents (CCPA / CPRA)

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know what personal information we collect, the right to delete it, and the right to non-discrimination for exercising your privacy rights. We do not sell or share personal information as defined under the CCPA.

8. Children's Privacy

Our Services are intended for use by adults arranging care for senior family members. Our Site and Services are not directed to children under 18, and we do not knowingly collect personal information from children. If we learn we have inadvertently collected information from a child, we will delete it.

9. Third-Party Links

Our Site may contain links to third-party websites (e.g., resources on scam prevention). We are not responsible for the privacy practices of third-party sites, and we encourage you to review their privacy policies separately.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will post the updated policy on this page with a revised "Last Updated" date. Material changes will be communicated to active clients by email where appropriate.
